I am trying to get Extra.Ref variable to print on remittances not Ref to show the invoice number.

Its been may years since Ive used Sage to looking for the idiots guide on how to do this!!!!!

Why Sage doesnt include the ex ref on things like remittance and supplier reports, is beyond me!

Generate your remittance and "edit" in report designer..

Double click "Inv_Ref" so it goes into the expression editor....

Delete "REMITTANCE.INV_REF

In "Fields" on the right, scroll to REMITTANCE and find EXTRA.REF
Double click this

This should bring up "REMITTANCE.EXTRA_REF"

Click ok, and then Save the file as whatever name you wish - I would use FOXRemittance for example

Come out of Report Designer and Re-run the remittance, this time selecting your bespoke file name

The effect wont take place until you have posted new bank transactions sadly.. so if you post a new bank transaction and then try running remittance, hopefully it will show the ref you want

Hi thanks for your reply.

I followed your instructions & its still not showing the extra ref.

When I go in to report designer looking at my bespoke file everything I want is there but when I go to print out the remittance the ref field is blank.

I have posted new bank transactions but it still isnt working.

Do you have any further thoughts?

If you have posted new supplier payments, and those are not showing the ex ref when you run their remittance, then I don't know what to tell you. I did it as I said, and when I ran the following months remittance advice, they were as I expected.

As a matter of interest - having only just spotted this thread - I've just tried to use the Ex Ref field: I made a copy of the remittance report and edited it to include the ex ref, created a test transaction with one, paid it... and the remittance didn't show it.

I'd have a more detailed play but I don't have time.

I'm in the same boat as Vince.

  1. Made sure Bank defaults had "List Payment/Receipt by split" ticked
  2. Did exactly what you said in your initial reply

No joy. Scratching my head confuse

The Extra Ref field is in the audit split not on the audit header, so on one invoice you could have multiple splits and multiple extra refs each of which could be different.

I suspect this is a field that was put in by mistake, is always blank and has never been removed.

There is no link from the remittance back to the audit trail so you are not going to get where you are trying to go.

My head scratching continues. I understand what you are saying - yet Michelle says she has it working! What's more, the report she's editing references the Remittance, Purchase_Ledger, Company and Currency tables. No Audit table is referenced in the Layout definition.

Any further light you could shed on this would be most welcome. 

Later edit: I notice that, in Sage Instant, the Remittance table is empty. confuse. Does Instant create the information on the fly and then throw it away? Just curious.

I have just had a chat with sage about this and apparently you have to do the following:

- Settings
- Bank Defaults
- Check 'list invoice/credit by item line'
- ok

Going forward your remittance advice should show extra ref!!!

I'd be interested to know if it works for you - it hasn't for me in Sage Instant, but it only has "List Payment/Receipt by split" not 'list invoice/credit by item line' under bank defaults.

Listing by splits would make sense, as at that level you would have the extra ref field.

The only issue then would be that you could have lots of splits and lots of lines on the advice, but I guess you could then group by that.

Making sense now, thanks for the feedback on how to get this to work.

Hi guys.. as you know I am not a sage buff, all I can tell you is that - when you change the report template, in designer, you cant run the report and see the ex ref for transactions that have already been posted. It only seems to work from that day forward, if that makes sense. I don't know why it cant show previously posted items. I think it ridiculous that the Ex ref isnt on supplier reports as standard.

 Wow this is a much better way - did it work? I notice it too, can only cope with "going forward" and not run historically!

I don't think it's a better way but, rather, a second requirement. The report definition still needs edited to show the EXTRA_REF field.

I'm making a few guesses here and trying to piece some things together.

Based on Bruce's observations, it seems that it is the 'list invoice/credit by item line' being ticked that "allows" the REMITTANCES.EXTRA_REF field to be populated from the relevant AUDIT_SPLIT.EXTRA_REF information when a remittance is created. I think that's why it's not retrospective, a remittance is only created once and if the 'list invoice/credit by item line' wasn't ticked at the time ...

I have a client who asked me to take over the bookkeeping... I wonder if she had already ticked that box, then. I'll check next time I am working on it. She had been doing RMs for years but was using the details to put in the ex ref. When I doctored the report template, it still wouldn't do it retrospectively. Its only by doing the above, that I got what I wanted, albeit the following month. I wonder if the newer version of Sage has changed this. It seems totally bizarre to me that the ex ref doesn't appear on the supplier reports, the creditors reports or the remittance advice.

I'm totally confused. I wonder does the REMITTANCE.EXTRA_REF field only get populated if the 'list invoice/credit by item line' is ticked and the detail of the report used to create the remittance includes the REMITTANCE.EXTRA_REF field? I find that hard to believe, but maybe that's it. Perhaps Bruce or JonDon might be able to shed some light on how it works if they're passing this way. I wonder, if you create a remittance with a report that doesn't contain the EXTRA_REF field (on a client (maybe Practice would be best) where you have EXTRA_REF working on another remittance report), and go back later to do a reprint using the EXTRA_REF report, does the EXTRA_REF show up?

My thought is that...

The remittance table is populated when the remittance is created.

What information gets written is dependant on this flag.
If writing at the detail level then there is one record written for each split and the extra ref is visible.
If writing at the header level then there is no extra ref so it is always blank.

Seems to make sense to me, what I don't understand is why didn't they also include a link back to the transaction number, because then we could do so much more.

That just leaves the question of Michelle's client (who must have already had this flag set) where editing the report only seems to have made the EXTRA_REF available from the point of the edit forward - not from the point of the flag being set forward. Any ideas?

Agreed about the transaction number.

Yes... and the remittance table approach has always struck me as a bit odd.

It should theoretically be possible to create a report that would serve as a remittance advice, but which can be produced at any time, for any given supplier payment on the system.

But the remittance screen is there, so I (we) might as well use it, instead of exploring other possibilities. :)
